MOVE Update Makes Updating Addresses A Lot Easier

Every week Elite Print Services administers 30 to 40 bulk mailings for its healthcare, credit union and collection agency clients. While MailRoom ToolKit Architect makes it easy to certify and sort addresses, Elite also relies greatly on its Move Update tool. Using Move Update, Elite can ensure that its client mailing lists are kept up-to-date and their mailings reach their destination. The end result: more accurate deliveries, fewer mail pieces returned, happier customers and greater savings.

According to systems administrator Tommy Hernandez, Elite chose MailRoom ToolKit for change-of-address processing for both its ability to update records and its ease of use. "MailRoom ToolKit makes updating addresses a lot easier on our end," Tommy says. "There aren't many steps to using the program."

Prior to using MailRoom ToolKit, Elite used another software program that required exporting from their database and importing the data into the application before submitting the addresses for updating. Because Move Update is built in with MailRoom ToolKit, it eliminates this tedious and error-prone task.

"We really like that there's no more importing and exporting," Tommy says. "It makes the process a lot faster."

Print Coordinator Bryan Matheny adds, "So many things can go wrong when you have to import the data. But in MailRoom ToolKit, the settings for each client are already saved in the templates so the initial setup is done," he says. "All we have to do is open the list and run Move Update."

With Move Update, Elite's mailing lists are first CASS processed and then transmitted directly from MailRoom ToolKit to the Satori Software NCOA^Link® database via the Internet. This NCOA^Link database, which is updated weekly, contains the last 48 months of address change records. The submitted records process virtually in real-time and are quickly updated and returned to Elite.

"We haven't had any problems running our records," Bryan says. "With the old program we'd sometimes have trouble connecting to the server and then it would be hard to get a hold of somebody to help us." But we've never had those kinds of problems with Satori Software. We're always able to connect to the server and get our jobs done quickly."

Elite runs between 5 and 10 Move Update jobs per day, each consisting of 1,000 to 3,000 addresses. Bryan says some customer lists contain up to 10,000 records. By using the program, Elite's customers reduce the number of undeliverable pieces and returned mail. That adds up to significant savings. The number of updated records may vary from one list to the next, but Tommy and Bryan estimate that in a typical list, 10 to 15 percent of the addresses need to be updated. This is why Elite's sales team markets Move Update as part of its mailing services.

Tommy emphasizes the benefits of keeping his client's address lists current, “Our clients are very pleased with the results. They save a lot by using this program."

Bryan seconds this. "Our customers have been really happy," he says. "When they tell others about the service, the word spreads like wildfire. We've had people referred to us by word of mouth and it's because of the service."
